Earlier systems relied on the permissions of the Windows folders into which you filed your emails. This had the advantage that the search tool only shows you what you were able to find by browsing via File Explorer. The disadvantages are that you canโt search via a phone, tablet, Mac, etc., and are thus limited to only searching via a PC, and if you switch to a different computer you have to wait for it to rebuild the whole index. This is also very demanding of network resources because each device has to download and index every single email. We know of one business that had to uninstall one of these older style systems because it brought their network to its knees. Others have discovered to their dismay that the constant demand for emails to index from every machine on the network is seen as a denial-of-service attack by some systems such as SharePoint, so they protect the service for the good of other users by reducing service availability to the machine/s that appear to be hammering their services. The net result is that everyone finds SharePoint and Teams to be slow but does not know why.
